Terms of Service

1. Definitions
- "Organization" or "School" means the school or institution that has provisioned a StaffHub account for its staff.
- "Authorized User" means an individual — staff member, administrator, or other person — provisioned an account by an Organization.
- "Service" means the StaffHub web and mobile applications and related infrastructure.
2. Organization-provisioned accounts
StaffHub does not offer public self-registration. Every Authorized User account is created, and may be modified or deactivated, by the Organization's administrators. Your access to the Service, and the scope of what you can see and do within it, is determined by the role and permissions your Organization assigns to you.
3. Acceptable use
You agree to use the Service only for legitimate school-operations purposes as authorized by your Organization, and not to: access or attempt to access data outside your authorized scope; interfere with the Service's operation; misrepresent your identity; or use the Service to violate any applicable law or your Organization's own policies.
4. Account security
You are responsible for keeping your sign-in credentials confidential and for any activity that occurs under your account. Notify your school administrator promptly if you suspect unauthorized access.
5. Data accuracy and authority
Your Organization is responsible for the accuracy of the operational and staff data it enters into the Service, and for determining who within the Organization is authorized to view, edit, or approve specific categories of information (for example, HR documents, attendance records, or leave approvals).
6. Service operation
We aim to keep the Service available and reliable, but the Service is provided on an "as available" basis. We may perform maintenance, updates, or changes to functionality from time to time.
7. Prohibited conduct
You may not reverse-engineer, resell, sublicense, or use the Service to build a competing product; attempt to bypass access controls or permission scoping; or introduce malicious code or automated abusive traffic.
8. Intellectual property
The Service, including its software, design, and StaffHub branding, is owned by StaffHub or its licensors. These Terms do not transfer any ownership rights to you or your Organization beyond the right to use the Service as authorized.
9. Suspension and termination
We may suspend or terminate access to the Service for an Organization or an individual Authorized User in the event of a material breach of these Terms, suspected security risk, or non-payment where applicable. An Organization's administrators are responsible for deactivating individual Authorized User accounts when a staff member leaves the Organization or should no longer have access.
10. Availability and support
Support for day-to-day account and permission questions is generally provided by your Organization's own administrators. See our Support page for how to get help.
11. Privacy
Our Privacy Policy describes how information is collected and used, and is incorporated into these Terms by reference.
12. Changes to these Terms
We may update these Terms from time to time. Material changes will be reflected by updating the "Last updated" date above.
13. Disclaimer and limitation of liability
The Service is provided "as is" without warranties of any kind, to the maximum extent permitted by applicable law. To the maximum extent permitted by law, StaffHub will not be liable for indirect, incidental, or consequential damages arising from use of the Service.
14. Who operates StaffHub
